Privacy Policy
Last updated: 23 October 2026
This policy explains how Documentello handles personal information when you visit documentello.com, use the Documentello application, publish a documentation site, or otherwise interact with us.
Information we collect
Account and profile information
We collect information you provide, such as your name and email address. Documentello uses email verification codes for sign-in and does not require an account password.
Content and site information
We process the documentation, files, site settings, domains, invited editor details, imports, feedback, and AI conversations you choose to store or publish. Public documentation and information you intentionally publish can be viewed by anyone.
Billing information
We may use third-party providers for subscription checkout, payment processing, taxes, invoices, and refunds. These providers include Paddle. When a purchase is completed through Paddle, Paddle acts as the authorized reseller and merchant of record and handles transaction information under its own policies. We may receive information needed to provide and manage your subscription.
Usage and technical information
We collect service usage, AI and storage consumption, requests, IP addresses, browser and device information, timestamps, diagnostic data, and security events. With your consent, Google Analytics also collects information about visits to documentello.com. We do not use analytics in the Documentello application or on published documentation sites. When a reader uses page feedback or the documentation assistant, we create a limited visitor identifier to keep that activity connected.
How we use information
We use information to:
- provide, operate, and support Documentello;
- authenticate users and secure accounts;
- host and deliver published documentation;
- process subscriptions and measure included capacity;
- provide search, imports, exports, and AI-assisted features;
- communicate about the service and respond to requests;
- detect abuse, investigate errors, and protect the service; and
- comply with legal obligations and enforce our agreements.
Legal bases
Where the European Economic Area, United Kingdom, or similar law applies, we rely on:
- performance of our contract to create accounts, provide sites and features, manage subscriptions, and support users;
- legitimate interests to secure the service, prevent abuse, diagnose problems, and understand service reliability;
- legal obligations for tax, accounting, compliance, and lawful requests; and
- consent where a feature or applicable law specifically requires it.
An email address is required to create and access an account. Other information identified as required is necessary to provide the relevant feature.
AI processing
When you use AI features, relevant prompts, documentation, and contextual information may be sent to AI service providers. These providers may include OpenAI, Google, Anthropic, and other providers offering similar services. The provider used may vary by feature, availability, quality, and cost. We do not use customer content to train AI models or for unrelated product improvement. Do not submit sensitive personal information unless it is necessary and you have a lawful basis to do so. AI responses can be inaccurate, and you should review them before use.
How we share information
We may share information as needed with providers that support hosting, infrastructure, email delivery, payment processing, security, diagnostics, and AI functionality. Depending on the service and context, a provider may process information on our behalf or for purposes described in its own terms and privacy policy.
We may also disclose information when required by law, to protect rights and safety, in connection with a corporate transaction, or at your direction. We do not sell personal information or share it for cross-context behavioral advertising.
Site owners and documentation readers
A customer that publishes documentation may determine what information its site collects through content, feedback, search, or AI features. That customer is responsible for its own notices and legal basis. When Documentello processes reader information on the customer's instructions, the customer is the controller and Documentello acts as its service provider or processor. Readers should contact the site owner first about requests concerning that site's content or reader data.
International transfers
Documentello and its service providers may process information in countries other than yours. Where required, we use recognized safeguards for international transfers, such as adequacy decisions or standard contractual clauses. Contact us to request information about the safeguard used for a particular transfer.
Retention
We keep personal information only for as long as needed for the purposes described in this policy. The period depends on the type of information, why we collected it, the sensitivity and risk involved, and applicable legal requirements. We may retain limited information longer in backups or when needed for security, disputes, tax, accounting, or legal compliance. When information is no longer needed, we delete or anonymize it. Public copies held by search engines, archives, or third parties are outside our control.
Security
We use reasonable technical and organizational safeguards designed to protect information. No online service can guarantee absolute security. You are responsible for maintaining access to your email account and for managing the people invited to your sites.
Your choices and rights
Depending on where you live, you may have the right to access, correct, delete, restrict, or receive a copy of your personal information, object to certain processing, or withdraw consent. You may also have the right to complain to your local data protection authority.
You can update or delete certain information through the application. For other requests, contact us using the address below. We may need to verify your identity before completing a request.
Children
Documentello is not directed to children under 16, and we do not knowingly collect their personal information. Contact us if you believe a child has provided personal information to the service.
Changes to this policy
We may update this policy to reflect changes to the service or applicable law. We will publish the revised version and update the date above. We will provide additional notice when a change materially affects your privacy rights.
